Payment chasing

Get paid on late invoices without writing another reminder yourself

Invoices go out on time from QuickBooks or Xero, and anyone who pays late gets a polite reminder on the schedule you set, in your tone, at up to 3 stages, stopping as soon as they pay.

The actual problem

The work is done. The money is late, and chasing it is nobody's job.

Invoices go out whenever someone gets to them, and the reminders depend on somebody remembering and feeling like having an awkward conversation. So late invoices sit, and the cash you already earned stays in your customers' accounts.

Chasing by hand

  • Invoices go out days after the job is finished
  • Someone has to check what is overdue, every week
  • Reminders get skipped when the week is busy
  • The tone depends on who writes it and how they feel
  • Payments are matched to invoices by hand

Once it is built

  • The invoice is raised when the job or milestone is done
  • Sent from your own accounting system
  • Reminders at 3 stages, on the schedule you set
  • Every reminder written in your tone, agreed up front
  • Paid invoices reconciled
How it works

Three steps, and a person only where one is needed

1. The invoice goes out on time

When a job or milestone is marked finished, the system raises the invoice and sends it from QuickBooks or Xero, with your terms and your branding.

2. Late payers get reminded

If it is still unpaid, reminders go out at 3 stages on the days you choose, each one written in your tone and checked against what is still open.

3. Paid invoices are closed off

When the money arrives, the invoice is reconciled. Anything that needs a judgment call, like a dispute, goes to a person instead of another reminder.

Works with

QuickBooks or Xero, no new software

The invoices and reminders come from the accounting system you already use, so your customers see the same invoices they always have. The automation itself runs in Make, n8n, Zapier or GoHighLevel, in your own account.

Small businesses across Miami-Dade, Broward and Palm Beach, and remote clients across the US.

Ecommerce and wholesale

Sellers with trade accounts on payment terms, where a few late accounts can tie up a month of stock money.

What payment chasing costs

Common questions

How much does it cost?

$2,500 to set up, fixed before we start. The add-ons are a card payment link on every invoice for $400 and monthly statements for $500. After launch there is no required monthly fee: changes are $175 each, or a plan from $700 a month includes them. Your software subscriptions stay billed by the vendor, in your name.

How long until it is running?

About 10 business days. It starts with the free 30-minute audit, then a written proposal in 2 business days. We test it on your real invoices before any reminder reaches a customer.

Will the reminders annoy my customers?

There are 3 reminders, on days you pick, in wording you approve before go-live. They only go to invoices still open in your accounting system, so a customer who has paid is not chased. Most late payers simply forgot, and a polite note on time is easier to take than an awkward call weeks later.

Do I need new software?

No. It runs on QuickBooks or Xero, whichever you already use, and the automation is built in your own accounts. If you need something you don't have, we tell you during scoping, with the monthly cost.

What happens when a customer disputes an invoice?

A dispute needs a person, not another reminder. We agree with you before we build how a disputed invoice is taken out of the schedule and who hears about it, so the system never argues with a customer on your behalf.

What if I want to change the schedule or wording later?

A change to a message or a reminder day is a single change: $175 pay as you go, or included in a plan. The setup also comes with 30 days of support after go-live.

Show us what is overdue right now

Thirty minutes, no charge. We will look at how you invoice and chase today, and tell you whether this is worth building and what it would cost, before anyone asks you for a number.

You will talk to Fayez or Kareem, the two founders.
