Business automation in Miami

We are based at 275 SW 6th Street, downtown. A founder on every job, building automation for businesses that have outgrown doing it by hand.

In short

The Automation Department is a Miami-based automation firm serving small and mid-sized businesses across the United States. Scoping is free, single automations start at $499, and most go live within 10 business days.

Being local means you can meet the people doing the work, and that shadowing a process can happen in the room rather than over a screen share. It does not mean we only work here. Most delivery is remote.

What being in Miami actually changes

Most automation work is location-independent. Three things do genuinely change when the firm is down the road.

  • Shadowing can happen in person. The single biggest predictor of an accurate estimate is whether someone watched the work being done. Doing that in the room, with the person who actually runs the process, surfaces more than a scheduled call ever does: the sticky note on the monitor, the second spreadsheet, the customer everyone handles differently.
  • You can meet who is doing it. Both of us are named on the site, with our faces and our profiles. A founder scopes and signs off every build, a dedicated account manager handles the day to day, and the team behind them is named from the first call.
  • Same time zone, same working day. Eastern time, and a response window that is not overnight. Mundane, and it matters when a build is live and something needs a decision.

What it does not change: the price, the method, or the quality. We work across the US on exactly the same terms.

The sectors we see most here

Miami's business mix skews in particular directions, and the automation requests follow it. These are four that fit Miami's business mix, each with the work worth automating.

Trade, freight and logistics

PortMiami and Miami International Airport make this a logistics town, and logistics runs on documents and status updates. The recurring asks are proactive shipment status so customers stop calling to ask, carrier invoice audit, proof-of-delivery capture and matching, and the EDI side of carrier connectivity, which is a genuinely different job from calling a modern API and should be scoped as one. See logistics automation.

Real estate and property management

A dense brokerage and property-management market, and the highest-leverage automation in it is almost always speed to lead: portal inquiries and inbound calls routed instantly by area and availability, acknowledged inside a minute. After that, transaction document collection and commission splits. The MLS rules on what may be syndicated and how are a real constraint and need checking before anything is designed. See real estate automation.

Professional services

Agencies, consultancies and engineering practices, where the money leaks between approved time and the invoice going out. Time and expenses pulled into draft invoices on the billing cycle, with the right rates and pass-through costs attached, is the usual first build. See professional services automation.

Restaurants, bars and nightlife

Miami runs late, and so do its inquiries. Table requests, birthday bookings and bottle-service questions arrive by DM and WhatsApp once the floor is already busy, and the venue that answers first usually gets the booking. The work worth automating is one reservation book fed by every channel, deposits and holds on tables and events, promoter guest lists with attribution, and a review request after every visit. See restaurants and nightlife.

Hurricane season and business continuity

Atlantic hurricane season runs from 1 June to 30 November, and for a South Florida business that is a real operational planning question rather than a theoretical one. It is also one of the more legitimate arguments for automating administrative work.

A process that lives in one person's habits stops when that person cannot get to the office or has their own household to deal with. A documented, automated process does not: invoices still go out, inquiries are still acknowledged, collections still chase, and status updates still reach customers. Nothing here is hurricane-specific engineering. It is the ordinary benefit of work not depending on somebody being at a desk, which simply becomes visible a few times a year.

Two practical points if this is part of your thinking. Automations running in cloud platforms are unaffected by a local outage, but anything depending on an on-premise machine (a QuickBooks Desktop connector, for instance) is exactly as available as that machine. And alerting needs to reach somebody who is not also without power, which means a named escalation path rather than one person's email.

Bilingual operations

A large share of business in Miami-Dade happens in Spanish, in English, or in both within the same conversation. That has a specific consequence for AI components.

A chat or voice agent handling both languages is entirely workable, and modern models are good at it. What is not automatic is that it is correct in both. Accuracy has to be measured separately per language, against your own historical cases, because a model can be reliable in one and noticeably weaker in the other on the same task, particularly with local usage and code-switching mid-sentence. That means two evaluation sets rather than one, and it is included rather than an extra.

The same applies to document extraction where suppliers or customers send paperwork in Spanish. It works; it needs testing on your actual documents rather than assumed.

How to work with us

Scoping is free and carries no commitment. A thirty-minute call, then a written proposal within two business days: what we would build, in what order, what it costs and what it will run to each month. Sometimes the proposal says a process is not worth automating yet, and we will tell you that rather than quote for it. The proposal is yours whether you build with us or not.

From there, single automations have a fixed setup price from $499 and most are running within 10 business days. Packages and plans are on the pricing page, and every price is fixed before work starts.
