Scoping and proposal

A fixed price, before you commit to anything.

We map the process, count the exceptions, and come back with a written proposal and a number that does not move. It costs nothing and you owe us nothing afterwards.

What we ask for
  • The process
  • The systems
  • The exceptions
  • Your volumes
  • Who owns it
Why quotes move

What is missing from a quote costs more than what is in it.

Most quotes price the happy path. The cost lives in the ten branches of except when, the system with no API, and the duplicate records nobody mentioned. We look for those first, because that is what makes a fixed price safe to give.

An estimate

  • Priced from a conversation
  • The happy path only
  • Moves once the work starts
  • Exceptions discovered in week three
  • You carry the overrun

Our proposal

  • Priced from the process as it runs
  • Exceptions counted and priced
  • Fixed before anyone starts
  • Risks named in writing up front
  • We carry the estimating risk
Mapped

The process as it runs, not as it is described

We walk it with the people who do it. Every handoff, every waiting step, every time somebody opens a spreadsheet that is not in the official diagram.

  • Each step timed and owned
  • The waiting measured, not just the work
  • The undocumented steps written down

Counted

The exceptions are the engineering

Ten branches of except when is most of the build. We count them before quoting, which is why the number holds and why we sometimes tell you not to do it.

  • Every branch listed and priced
  • The ones not worth automating, marked
  • A manual fallback defined for each

Priced

One number, and what would change it

A fixed setup price, the monthly running cost of the platform, and the two or three things that would genuinely move the figure, named before you decide.

  • Setup fixed before work starts
  • Platform running cost estimated separately
  • No change fees hidden in the small print

What arrives in two days

Six things in the document

The process, mapped

Every step, owner and waiting period, including the ones not in your diagram.

What we would build

Named automations, in order, with what each one removes.

A fixed setup price

It does not move once work starts. We carry the estimating risk, not you.

A timeline

Business days from sign-off to running, with what we need from you and when.

The risks, named

The system with no API, the duplicate data, the vendor dependency. Before you decide.

Running costs

What the platform will cost per month at your volume, over three years.

Before you talk to anyone

Work out whether it is worth doing at all

Bring the number you get here to the call. It is the figure the proposal has to beat.

That work currently costs you

$1,974

every month in wages alone, before the errors and the waiting.

A $2,500 build pays for itself in 1.3 months.

Free, and it stays free

There is no charge for scoping, the proposal, or a second opinion on somebody else’s quote. If the automation is not worth building we will say so in the document, which is the cheapest thing we can do for you.

Common questions

What does the free scoping actually include?

A 30-minute call, the process mapped with the people who run it, the exceptions counted, and a written proposal with a fixed price, a timeline and the risks named. Two business days, no obligation.

How can the price be fixed before you start?

Because we count the exceptions first. The overruns in this work come from branches nobody priced, so we look for them before quoting rather than after.

What if you decide it is not worth automating?

We write that down and tell you why. It happens, and it is a better outcome than selling you a build that never pays back.

Do we have to use you afterwards?

No. The proposal is yours. Some people take it to another vendor, and that is a fair use of it.

What do you need from us?

Thirty minutes with whoever actually runs the process, and an honest account of the exceptions. Access to systems is only needed once you decide to build.

Start with the free audit

Thirty minutes on the process that is costing you most. A written proposal follows in two business days, with a price that does not move.

You will talk to Fayez or Kareem. Nobody else.
